A purchase order is a buyer-issued document authorising a supplier to provide specified goods or services. It records what the buyer wants to purchase, agreed quantities and prices, delivery requirements, shipping costs, and other order terms. Once accepted under the parties' terms, it can represent a purchasing commitment; it is not a seller's request for payment or proof that payment occurred.
Create a purchase order after selecting a supplier and approving the purchase internally, but before the supplier fulfils the order. The seller may first provide a quotation, which the buyer uses to prepare the order. A proforma invoice may support advance-payment or shipping arrangements. After delivery or completion, the supplier usually issues an invoice that references the purchase-order number, followed by a receipt when payment is received.
A café can send a purchase order to an equipment supplier for a coffee machine, accessories, delivery date, and agreed total. An office manager can issue one for monthly stationery, specifying item quantities and the delivery address so the supplier and accounts team work from the same approved order.
